Digital ID checking via our certified identity service provider
Identity verification can be done digitally without the need for the applicant to present original documents to you to be verified. It also allows you to request a digital Right to Work check (if needed) at the same time.
Please note that submitting a digital ID Check (or Right to Work check) will incur an extra cost on top of our normal charges to your organisation, if the fees are paid by your Head Office, you should check with them before proceeding.
When in the ID section, you will be given the option of how you want to check the ID. To carry out the identity check using our certified identity service provider, select Invite the applicant to undertake a digital ID check (plus digital Right to Work check if required).

The digital invite page will automatically populate the name and email address of the applicant where present. To invite the applicant to undertake just a digital ID check, select Digital ID Check Only from the Digital ID Check Type drop-down list. Ensure their name and email address are populated along with selecting the email template to issue them.
You will also need to confirm your agreement to the extra cost to processing a digital ID Check. This will generate an email to the applicant allowing them to carry out their digital ID check via our certified identity service provider.
To invite the applicant to undertake a digital ID check and a digital Right to Work Check (this would be the exception and only selected when you need to know whether an applicant is legally permitted to work in the UK), please select Right to Work + Digital ID Check from the Digital ID Check Type drop-down list. Ensure their name and email address are populated along with selecting the email template to issue them. This will generate an email to the applicant allowing them to carry out their digital ID check and digital Right to Work check at the same time.
Tip: Don't remove anything from the template that contains a dollar sign ($) as this will stop the applicant receiving a personalised link to start their application.

Applicants that have been invited to do a digital ID check can be found in the Awaiting Digital ID queue on the main dashboard.

Viewing the results
Once the digital ID check has been completed the Lead Recruiter will receive an email notification prompting them to log in to view the result. out. The ' ID Check' section of the application will be updated with either a pass or fail result and a PDF report of the digital ID check can be downloaded by clicking Download Digital ID Report or from the 'Documents' tab.
IMPORTANT - you must still compare the name, address and date of birth given on the Document Validation Report (found in the ‘documents’ tab of the application) with the personal details on the DBS application form, to ensure the applicant has provided the same information on both. This is a vital part of your role and can result in a flawed DBS check if this process is not followed. If the details are different, please contact us for further support on how to proceed.
A passed ID Check
If the result of the digital ID check is PASS, the ID section will be completed automatically when the digital ID check result is received. This is the end of the process.

Right to Work check
If a digital Right to Work check was also requested, a Right to Work Check element will be added to the header of the application and will be updated with either a pass, fail or see report result. A PDF report of the digital Right to Work check can be downloaded by clicking Download Digital ID Report from either the ID screen or the Right to Work screen.

A failed ID Check
If the result of the digital ID check is FAIL, you must read and Download the Digital ID Report to understand why it has failed.
Depending on the reason it has failed the identity check might need to be done manually. To do this, click the RESET ID CHECK button at the bottom of the ID screen to restart the identity process, this time selecting an alternative method.

Reasons why it might have failed?
If you Download the Digital ID Report, it will contain a 'Summary of Checks' table that will indicate a green tick for the areas that have passed and either a red X or orange triangle for areas that have caused it to fail.

The images of the documents must be clear without any areas being cut off.
The Machine Readable Zone (MRZ) must be fully readable on the image
provided.MRZ is a machine-readable version of the holder’s data (like a barcode) at the bottom of a Passport or ID card.
For certain documents e.g Driving Licences pictures of the front and back must be provided in order to pass.
If this is marked with a green check, TrustID have been able to confirm the selfie submitted is a live photo
If this is marked as green, it means the selfie submitted has been assessed as being the same person as in the identity document(s).
This means no record of the candidate residing at that address against public records has been found within the Equifax databases.
If this is the reason for the application failing, the ID Check will need to be reset and done manually instead.
If this is marked as green, it means the applicant's names are matching across the documents provided.
This is the level of confidence that the DBS require. This profile stipulates the combination of documents required to obtain a pass.
If this is marked with a green check, it means the document has passed the Amberhill check.
